Event and Registration Refund Policy

Objective

The purpose of this Event/Registration Refund Policy is to specify the conditions under which refunds will be issued in the event of cancellations or changes to events or registrations. BTG Cycling aims to provide clear guidelines to ensure transparency and fairness for all participants.

  1. Refund Conditions

Refunds for event registrations will be considered under the following conditions:

  • Cancellation by BTG Cycling: If an event is canceled by BTG Cycling for any reason, participants will be eligible for a full refund of the registration fee.
  • Participant Cancellation: If a participant wishes to cancel their registration for any reason, the following guidelines apply:
    • Cancellations made 30 days or more before the event will receive a full refund.
    • Cancellations made between 15 and 29 days before the event will receive a 50% refund.
    • Cancellations made less than 15 days before the event will not be eligible for a refund.
  1. Refund Request Process

To request a refund, participants must:

  • Submit a refund request via email to contact@btgcycling.org, including the following information:
    • Full name
    • Event name and date
    • Reason for cancellation
    • Contact information
  • Refund requests must be submitted within the timeframes outlined in Section 1.

BTG Cycling will process refund requests within [insert number] business days of receiving the request. Refunds will be issued using the same payment method used for registration.

  1. Procedures in Case of Event Postponements

In the event that an event is postponed, BTG Cycling will notify all registered participants as soon as possible. Participants will have the following options:

  • Transfer Registration: Participants may choose to transfer their registration to the rescheduled event date without any additional fees.
  • Full Refund: Participants who cannot attend the rescheduled event may request a full refund of their registration fee by following the refund request process outlined above.

BTG Cycling understands that unforeseen circumstances may arise. In cases such as medical emergencies, natural disasters, or other significant events, participants may contact BTG Cycling to discuss their situation. Refunds may be considered on a case-by-case basis at the discretion of BTG Cycling management.
